ETO FAQ
Common Errors Made in ETO - UPDATED SEPTEMBER 28, 2011
Updates:
- 1. All classroom/group names have been updated to include your LAUP ID number. It is important that you are using these groups for your LAUP sessions as these are the groups that LAUP pulls the data from. If you have created a new group you will need to remove the children from the group and assign them to the LAUP session. To do this, see the section "Dismiss Remove Individual Child from Program" starting on p. 26 of the ETO Manual.
Reminders:
- 1. Be sure to dismiss last year's children from your LAUP classroom/group before assigning this year's children to the classroom/group. To do this, see the section "Dismiss/Remove Entire Classroom Group" starting on p. 29 of the ETO Manual. Please use the last day of school as the dismissal date. You will be using the classroom/groups that LAUP set up for you in ETO for each program year. DO NOT CREATE A NEW GROUP for each program year. This will cause your attendance data to be inaccurate which could possibly affect payments.
- 2. When recording attendance in ETO, please be sure to be recording at the classroom/group level. Instructions for "Recording Attendance in ETO" start on p. 34 of the ETO manual. If you do not record attendance at the group level your attendance data will be inaccurate which could possibly affect your payments.
- 3. Please make sure that the start date for each of your children is accurate. This should be the day that children started receiving service, ie. the first day of school. To do this, see the section "Editing the Date the Child is Assigned to the Classroom/Group" starting on p. 20 of the ETO manual.
- 4. When enrolling children and family's into the ETO system be sure to assign the parents/primary caregiver to the Parents Program. To do this, see p. 12-13 of the ETO manual.
- 5. When working in ETO please use center buttons (1-11) on the home page unless otherwise directed in the ETO manual.

The manual was created to guide providers through ETO. Click here to download the manual. You can also access the manual by:
- Going to the LAUP website at www.laup.net
- Click on For Providers on the left hand side of the screen
- Then click on the Efforts To Outcomes (ETO) on the right side of the screen
- Scroll down to Training models and Click on the LAUP ETO Attendance Manual download and print the manual for future use
Identifying Children as Part of the LAUP Program
While you may utilize ETO for all children in your program, LAUP will only track those assigned to the LAUP program. To ensure that children are part of the LAUP program follow these steps:
- When you are enrolling the child into the ETO system, there is a field that asks: Is this Child a part of the LAUP Program?
- THIS IS A VERY IMPORTANT STEP!!! Select Yes from the drop down menu for each child enrolled in your LAUP program. If you do not make a selection, your attendance data will be inaccurate and could possibly affect your payments.

Each program has been set up in ETO by the number of classrooms and sessions that each provider has. All children must be assigned to a classroom and a session. Follow the steps below to ensure the proper management of classrooms;
- After enrolling a child in the program you will need to assign them to the appropriate classroom group (session). LAUP has set up your classroom groups for you. The children listed in the ETO classroom group list MUST match with the children listed on your Monthly Enrollment Report. If your ETO classroom group does not match your Monthly Enrollment Report your attendance data will be inaccurate and could possibly affect your payments.
- From the Home Page, select #5-Manage Classroom Groups by clicking GO
- Each of your LAUP classroom group(s) will be listed. For example, if you have 2 LAUP classrooms each with AM and PM sessions, you should see:
- LAUP ID: 11111111111 Classroom 1 AM
- LAUP ID: 11111111121 Classroom 1 PM
- LAUP ID: 11111111221 Classroom 2 AM
- LAUP ID: 11111111222 Classroom 2 PM
- Each child will need to be assigned to one Class / Group at a time.
- Search: To search for children you have entered into the ETO system, you can enter the child’s name or leave the search box empty and click on GO.
- Leaving the search box empty will bring up the full list of children enrolled.
- Add: To add a child to the group, click on ADD next to the child’s name.
- Existing Groups: This indicates that the child has already been assigned to another class/group and therefore should not be assigned to the current class/group you are adding children too.

Duplicate Attendance Entries
Attendance is being duplicated when attendance is recorded twice for the same date of attendance. To avoid recording duplicate attendance:
- We strongly encourage providers to record attendance on a daily basis. More mistakes are made when entering on a weekly/monthly basis
- Assign one person to record attendance in ETO
- You should run attendance reports on a regular basis and before the deadline to ensure that your attendance data is accurate. If your attendance data is inaccurate, it could possibly affect your payments. You inquire how to run reports, in the manual under Attendance Reports.
- Read pop up screens in grey to prevent duplicate entries.

Entering Attendance and Editing Before the Deadline
All edits and attendance needs to be submitted in a timely manner. To avoid late submittal keep in mind that;
- Attendance for each month must be recorded into the ETO system by the 1st Friday of the month or the 3rd business day of the month whichever is late
- Edits may not be made after that deadline. If edits are made after the deadline your attendance data will be inaccurate and could possibly affect your payments
Days of Recorded Attendance
The recorded days of attendance need to coincide with your days of operation. In order to ensure that the proper days are being recorded make sure that;
- Attendance is being recorded for every day that you are open and for every day that children have the opportunity to attend.
- Your recorded attendance in ETO MUST match the days of operation for each month as reported in your monthly enrollment report.
